Graduation

If you are about to graduate and want to attend the ceremony or receive your award in absentia, please take time to read this information carefully so that you are familiar with all the procedures associated with the graduation process. This information and graduation application is only applicable to MIT Melbourne students.

Graduation policy and forms

Upon the recommendation of the MIT Results Ratification Committee (RRC) and the approval of the relevant Head of School or nominee, diplomas or degrees are awarded to students who have successfully completed all requirements for graduation specified by their individual program, as well as those specified by the Institution.

A completed Graduation & Academic Dress Application Form with evidence of payment, must be submitted to Ms. Lin Zhan for processing before the Graduation Closing date.  Ms. Zhan can be contacted on level 11, 388 Lonsdale St Melbourne VIC 3000 or via email at lzhan@mit.edu.au

Graduation from Melbourne Institute of Technology certifies the achievement of a satisfactory level of academic and professional proficiency in all courses as defined in the individual's program plan.

The requirement for graduation for undergraduate and postgraduate programs is the attainment of a minimum cumulative credit points.

For example all undergraduate courses at MIT require completion of 24 units equivalent to 360 credit points and the Masters Programs require a total of 240 credit points. Course credits that have been completed elsewhere, where appropriate and credit transfer has been approved, will count towards determining the student's credit points.

Students who have applied for graduation, but do not complete their program requirements before the graduation date; must submit a new Application for Graduation Form to become re-eligible for the next graduation date.

Please read the Application Form carefully and return the completed form to MITwith evidence of payment as soon as possible, but no later than the graduation application closing date.

Once we have received your completed forms and the applicable payment, candidates will be contacted in writing with details of the ceremony along with guest tickets if requested. This communication will be sent 2 weeks prior to the current ceremony dates.

Awarding of Diplomas and Degrees

Frequency

The Institute awards Diplomas and Degrees once a calendar year.

Awards are conferred to students completing course requirements at the end of Semester 3 of the previous year and first & second semester of the current year.

Students completing the second semester of the current year may choose, or may need to, attend at the following year's ceremony.

Students who choose do defer the graduation should indicate the year they wish to attend on the Application form.

Students wishing to defer their attendance either in absentia or in person are required to inform MIT in writing.  Either by letter or via email to lzhan@mit.edu.au.

Verification of Course Completion

Individuals who wish to submit verification of course completion to their employers or to graduate schools during the period between the end of their final grading period and the conferring of awards may obtain a "Letter of Completion" by emailing lzhan@mit.edu.au or calling (03) 8600 6700.

Academic dress

MIT makes arrangements for the Academic Dress (Regalia)  for each eligible candidate. Candidates must pay for such arrangements as detailed in the academic dress hire information on the Graduation & Academic Dress Application Form. Payment and application forms must be submitted no later than the closing date, please refer to the table above.

Requirements

Graduands must specify their respective academic dress measurements (size) at the time of completing their Graduation & Academic Dress Application Form.

When completing the Graduation & Academic Dress Application Form which can be downloaded online, candidates must ensure they select the correct gown, hood/stole, Trencher/bonnet colour and size, as applicable for their course award. Applications without proof of payment will not be accepted.

What should I wear beneath the gown?

As Graduation is an auspicious event students are required to dress appropriately. It is recommended that male students wear a suit and tie and female students wear attire that is suitable for a special occasion. Casual wear will not be allowed.

Terms and conditions of payment

1. Prices and Orders

Prices of academic dress hire are set out below and include GST. Payments can be made in cash, bank cheque, money order or credit and debit card at the accounts counter on level 11. Current pricing details are provided below under the heading Academic Dress and Ceremony Cost .

2. Pick Up & Return

Candidates are required to pick up and return the Academic Regalia at the venue on the day.  It is recommended that students pick up their regalia between one and one and a half hours prior to the ceremony.  Regalia must be returned within forty five minutes after the ceremony.

If a candidate fails to return the regalia within the prescribed time they will be required to pay a PENALTY.Late return of the regalia will attract a charge of $70.00 + GST per day.  If the regalia is not returned within 2 days the candidate will be asked to pay the replacement cost of the regalia, plus a $30 +GST administrative fee.

3. Responsibility

The Candidate is responsible for the academic dress for the entire time of hire and must return the dress without damage. Damage to dress will be charged to the Candidate. Candidates may be required to pay the full replacement cost of the regalia.

4. Refunds

Any order for academic dress hire that is cancelled up to 10days before the ceremony, will be given a full refund. If an order is cancelled after 10 days prior to the ceremony, or where the academic dress is not collected, the Candidate will not be entitled to a refund, and may be levied an administrative fee of $30 + GST.

Where a Candidate is unable to attend the nominated ceremony because of illness or for other serious reason/s, but can attend another, a credit for the full amount will be given towards the Candidate’s subsequent order for another ceremony. The Candidate will be required to submit evidence of their exceptional circumstances and will need to complete another application form with the relevant date.

5. Privacy

Personal information disclosed to MIT will not be released to a third party, unless required for the specific organisation of the Graduation Ceremony, to confirm Graduate eligibility or if MIT is compelled or authorised to do so by Law.

Credit card details received for payment will only be retained until such times as hired property is returned and the charging of any PENALTY fees for damage or non-return have been levied.

MIT is committed to maintaining the security of any personal data collected and protecting it from loss, theft or alteration. This applies to demographic information, client site usage, and personally identifiable information.

Email addresses may be used to communicate with candidates at a later date. Data collected is stored on a secure server that can be accessed by authorised MIT personnel only.

To safeguard all information collected, MIT and its employees adhere to and follow the legally required Privacy Legislation.

Graduating in absentia

Graduands who are assigned to a graduation ceremony but are not able to attend on the day, will automatically graduate in absentia and their testamur and academic record will be mailed to their last known correspondence address.

Students wishing to graduate in absentia must state that they wish to graduate in absentia and include their full name/s, student number and the address to which their testamur and academic transcripts are to be mailed to.  Canidates will need to complete the appropriate section of the Application Form.

Students that graduate in absentia will not be allowed to attend a subsequent graduation ceremony.
